Team Controls · configuration

Management and platform configuration — create clients, manage access, configure manual/fallback reporting, and monitor sync. Not for day-to-day operations.

New client onboarding

Creates the practice with standard deliverables, roadmap and video pipeline. On create, the portal tries to find the client's workbook in the master folder and detect its source tabs automatically — anything unclear is left for you to confirm under Manual Reporting.

Platform administrators

Who can open Team Controls. Make admin grants full platform configuration access by email — the person must have signed in at least once first. The last administrator can't remove themselves, so you're never locked out.

Practice access & invites

Send invite emails a sign-in link and adds the address to the allowlist. Uncheck “Send email” to allowlist only — the doctor can sign up themselves with that same email (Option B). Practice owners invite their own staff from the Invite team tab in their dashboard.

Permanently removes the practice selected above and all of its data.

Manual & fallback reporting

Marketing Connections is now the primary, automatic data source (Meta, Instagram, Google Ads, GA4, YouTube, Microsoft Ads…). Use this section only as the fallback — for platforms we can't auto-connect yet (TikTok, LinkedIn, Pinterest, call tracking, email, custom metrics) or for hand-entered months. It runs through the same Google master sheet: each client has one master workbook (folder set under System) with a tab per channel — Find in master folder, Detect tabs, map each source's tab, then Deploy setup. Sync still runs automatically every 2 hours.

Auto-sync status

System & reporting settings

Global settings for the whole portal.

Master Reporting Drive Folder — global, for the whole system

Each client's “Find in master folder” searches this folder by practice name. Share the folder with the backend service account so it can read it.

Manual sync & debugging

Manual/debug — “Deploy setup” on a client also runs this. Sync runs automatically every 2 hours.

Invite team members

Add as many colleagues as you need — each gets their own login scoped to this practice only. Send invite also adds them to the allowlist automatically.

Sync Health · marketing data center

Every marketing connection, sync status and data action across all clients — in one place.
Source Client Status Last sync Actions

Practice data management — this practice

Scoped, clearly-labelled actions for the selected client. Neutral = safe / reversible, amber = clears one kind of data, red = permanent. Every destructive action confirms and spells out exactly what is and isn't removed.

Refresh & re-sync
Pulls the latest numbers from every connected platform right now, instead of waiting for the 2-hour schedule. Nothing is removed.
Export practice data
Downloads a full copy — KPI months, deliverables, roadmap, video pipeline and updates. Nothing is changed. Keep one before any reset.
Reset metrics
Removes: all saved KPI months, the activity / updates feed and notifications. Keeps: deliverables, roadmap, videos and marketing connections.
Reset connections
Removes: every linked marketing platform (Meta, Google, GA4…) so future syncs stop. Keeps: all KPI history already imported. The client can reconnect anytime.
Archive practice
Hides the practice from the active roster and stops its scheduled syncs, but keeps every record. Un-archive anytime to bring it back exactly as it was.
Full reset to a clean slate
Removes: everything under both resets above. Also resets: deliverables, milestones and videos to their starting state. Keeps: the practice and its client logins. Cannot be undone.
Delete practice data
Removes: the practice, every client login, and all of its data permanently. There is no undo — export first if you might need it.

Global — all practices

Export all practices
One combined file of every practice's KPI months across the whole account. Read-only — nothing is changed.
